Your privacy matters.

We respect your privacy and take care with the information you share with us. This policy explains how we use personal information when you visit our website, contact our team or purchase flooring and fitting services.

Who we are.

Kildare Carpets and Flooring is the registered name of our family-run flooring business based in Celbridge, County Kildare. We are responsible for the personal information described in this policy.

For privacy enquiries, contact info@kcf.ie. Our website is www.kildarecarpetsandflooring.ie.

Information we collect.

We collect information you provide when making an enquiry, requesting a quotation or placing an order. This may include:

  • Your name, email address and telephone number.
  • Your address and the location where measuring, delivery or fitting will take place.
  • Project information, measurements, preferences and photographs you supply.
  • Correspondence, quotations, orders, invoices and aftercare records.

Website visits and form submissions may also generate technical information, including your IP address, browser details, submission time and the page from which you contacted us.

Our website enquiry form requests your name, email address and an optional telephone number. If you choose not to provide information needed for a particular service, we may be unable to respond or carry out your request.

How we use your information.

We use relevant information to answer enquiries, advise on flooring, prepare quotations, arrange measuring visits, fulfil orders, coordinate fitting and provide aftercare. Our legal basis is taking steps at your request before a contract or performing our contract with you.

We also process information to manage correspondence, protect our website, prevent misuse and resolve complaints. We rely on our legitimate interests in operating our business securely and providing customer service, balanced against your rights.

We process and retain certain records to meet legal obligations, including accounting and tax requirements.

Where an activity relies on your consent, you may withdraw it at any time without affecting processing that was lawful before withdrawal.

Storage and service providers.

We use HubSpot as our customer relationship management system (CRM) to store and manage enquiry and customer information. Website submissions are also stored in the website’s submission system and sent to our business email account.

Where necessary, information may be shared with providers supporting our hosting, email, CRM and IT systems; fitters, delivery providers and suppliers fulfilling your order; professional advisers; and authorities where legally required.

The information shared should be limited to what is needed for the relevant purpose.

International processing

HubSpot and its service providers may process personal information outside the European Economic Area, including in the United States. HubSpot’s published Data Processing Agreement provides for the EU–US Data Privacy Framework where applicable and European Commission Standard Contractual Clauses for relevant international transfers.

You can read HubSpot’s Data Processing Agreement and sub-processor information, or contact info@kcf.ie for further information about the safeguards relevant to your data. Website hosting, email and IT providers may also process information in the locations where they operate; applicable transfer protections are required where information leaves the EEA.

How long we keep information.

Unsuccessful enquiries and quotations: we keep these records for 12 months after the last meaningful contact.

Invoices and relevant tax records: we retain these for the applicable statutory period, generally six years for Irish tax records.

Warranty, aftercare, complaint and dispute records: we retain relevant information as long as necessary for the warranty, matter or applicable legal claim period.

A specific legal obligation or an ongoing dispute may require particular information to be retained longer. Retaining an invoice does not automatically justify retaining an entire customer file.

When information is no longer required, it should be securely deleted or anonymised. These arrangements apply to relevant copies across our CRM, email and website submission systems.

Marketing.

Submitting an enquiry does not, by itself, give consent to unrelated promotional emails or text messages.

Any direct marketing must comply with applicable data protection and electronic marketing requirements. You can object to direct marketing at any time by emailing info@kcf.ie or using an unsubscribe option included in a message.

Your rights.

Depending on the circumstances, you may request access to your information, correction, deletion, restriction of processing or a portable copy of certain information.

You may object to processing based on legitimate interests and withdraw consent where consent is the legal basis. You can always object to processing for direct marketing.

Contact info@kcf.ie to exercise your rights. We may request proportionate information to verify your identity. Some rights are subject to legal conditions, including obligations to retain particular records.

Cookies and external websites.

Our Cookie Policy explains the website’s optional Google Analytics and Meta Pixel tracking and how to change your choices. We use the Kildare Carpets & Flooring Meta Pixel only when you allow advertising cookies, to measure website visits and successful enquiries from Meta advertising. Meta may receive browser and page information and, because automatic advanced matching is enabled for the business Pixel, hashed contact details entered on the site. Meta processes that information under its own Privacy Policy. We use enquiry details to respond to your request, as described elsewhere in this policy.

Our website also includes links to external services, including social media platforms. Their own privacy policies apply when you visit them.

Complaints and updates.

You can contact us with concerns about your information. You also have the right to complain to Ireland’s Data Protection Commission.

We will update this policy when our practices change and show the revision date on the published version.
